Continuing Education Provider Policies
Participant Confidentiality & Privacy
Fathom Counseling PLLC is committed to protecting the privacy and confidentiality of all individuals who participate in our continuing education programs.
Information we collect: When you register for a continuing education program, we may collect your name, professional credentials, license number, email address, and payment information. We also collect program evaluation responses and any other materials you submit as part of your participation.
How we use your information: Participant information is used solely for program administration purposes, including verifying attendance, issuing certificates of completion, processing payments, and improving future programs. We do not sell, rent, or share participant information with third parties for marketing or commercial purposes.
Records and retention: We maintain secure records of program participation, including rosters and evaluation data, for a minimum of five years following each program offering, as required by the NBCC Continuing Education Provider Policy. Participant names are never included in evaluation summaries submitted to NBCC or shared publicly.
Data security: Participant records are stored securely and accessible only to authorized Fathom Counseling PLLC staff involved in program administration. Electronic payment processing utilizes secure encryption.

Program Fees, Refunds & Cancellation
Program fees: Some Fathom Counseling PLLC continuing education programs are offered at no cost. Others carry a registration fee, which will be clearly stated in all program advertising and registration materials prior to enrollment. Fee amounts vary by program and format.
Refunds: Participants who cancel their registration at least 7 days prior to a live program date are eligible for a full refund. Cancellations received fewer than 7 days before the program date are not eligible for a refund, but participants may transfer their registration to a future offering of the same program upon request.
For home study programs, refunds not available.
Program cancellation by Fathom Counseling PLLC: If Fathom Counseling PLLC cancels a program for any reason, all registered participants will receive a full refund of any fees paid. We will notify participants by email as soon as possible in the event of a cancellation or rescheduling.
No-shows: Participants who do not attend a live program and do not cancel in advance are not eligible for a refund.

Participant Complaint Resolution
Fathom Counseling PLLC takes participant concerns seriously and is committed to a fair, timely, and transparent process for addressing complaints related to our continuing education programs.
Scope: This policy applies to complaints related to program content, presenter qualifications or conduct, materials quality, certificate issuance, fee or refund disputes, and any other matter arising from participation in a Fathom Counseling PLLC continuing education program.
How to submit a complaint: Participants may submit complaints in writing to [your email address]. Complaints should include the participant's name and contact information, the name and date of the program, and a description of the concern.
Review process: All complaints will be acknowledged within 5 business days of receipt. Fathom Counseling PLLC will review the complaint, gather any relevant documentation, and provide a written response within 30 days. Where appropriate, we will take corrective action and use complaint feedback to improve future programming.
Escalation: If a participant is not satisfied with our response, they may escalate their complaint to NBCC at continuinged@nbcc.org. Fathom Counseling PLLC will cooperate fully with any NBCC review.
Records: All complaint communications and resolutions are documented and retained for a minimum of five years.
